Eligibility for an Ambassador

  1. Enrollment in the College/University: Typically, you should be a current student at the college or university hosting the event or at a nearby institution.

  2. Enthusiasm for Go-Karting: A genuine interest in motorsports racing event is essential. Your passion for the sport will come through when promoting the event.

  3. Strong Communication Skills: Ambassadors need to be effective communicators. This includes not only the ability to speak well but also to write persuasive content for marketing materials and social media.

7. Creativity: Being able to come up with creative ways to promote the event and engage your peers is a valuable skill.

8. Reliability and Responsibility: Event organizers need to know that you will fulfil your duties, meet deadlines, and represent the event professionally.

9. Team Player: The ability to work with a team is important, as you may collaborate with other ambassadors or event organizers.

10. Availability: You should be available and committed to dedicating time to promoting the event. This includes attending planning meetings and participating in event-related activities.

11. Understanding of Event Details: A good grasp of the event details, including the schedule, location, rules, and any specific requirements, is important. You should be well-informed about the event you're promoting.

12. Passion for Event Success: Demonstrating a strong desire to see the event succeed and a willingness to go the extra mile to make that happen is highly valued.

13. Positive Attitude: A positive and enthusiastic attitude can be contagious and help generate interest in the event.

4. Active on Social Media: Having a significant presence on social media platforms is often a requirement. A large following or engagement on platforms like Instagram, Facebook, Twitter, or YouTube can be advantageous.

5. Networking Abilities: The ability to network and connect with other students, clubs, and organizations on campus is crucial for spreading the word about the event.

6. Leadership Skills: Colleges often look for students who have demonstrated leadership abilities, either through student organizations, community involvement, or extracurricular activities.

Selection of  an Ambassador

  1. Announcement and Application: The first step often involves the AIMS organizers will announce the opportunity to the college / university for students to apply for the ambassador role. This announcement may be made through various channels, such as college websites, social media, or email newsletters , aims official website (www.aimsacademys.org )

  2. Application Submission: Interested students would need to submit an application. This application typically includes information about the student's background, their interest in the event, and why they believe they would make a good ambassador. ( Download the Application from our official website www.aimscademys.org  )

3. Review of Applications: The AIMS organizers or a selection committee from the AIMS along with the respective college Faculty Facilitator /Head of the Department/Principal/ Dean  will review the applications. They may assess the applicants based on their qualifications, enthusiasm for the event, leadership skills, and communication abilities.(Kindly refer the Eligibility for an Ambassador)

4. Interviews: In some cases, shortlisted candidates may be invited for interviews. This allows the selection committee to gauge the students' ability to communicate, their passion for the event, and their suitability for the role.

5. Selection Criteria: The selection committee or AIMS organizers may establish specific criteria for choosing ambassadors. These criteria can include factors like enthusiasm, social media presence, previous involvement in similar roles, and overall fit with the event's objectives.

6. Notification to Selected Candidates: The chosen ambassadors will be notified of their selection. The AIMS selection committee will officially send Email to the HoD / Faculty facilitator / Principle/ Dean / selected Student of their respective college.  The selected student will  receive details about their roles, responsibilities, and expectations.

7. Training and Orientation: Selected ambassadors may be provided with training or orientation sessions to familiarize them with the event, its goals, and the responsibilities associated with the role.

8. Role Responsibilities: The ambassadors will be expected to fulfill their role, which may involve promoting the event through various means, attending planning meetings, and representing the event to fellow students. (kindly Refer the Role of Ambassadors).

9. Term of Service ( Condition Applied): The duration of the ambassador will be for Selected Specific one Academic year. The AIMS officials will have the rights to remove the selected student ambassador if he/ she not towards the AIMS Mission & Vision.

Note:-

  1. If he/ she want to resign from his Ambassador position prior one Month notice should be given to the AIMS officials.

  2. The Ambassador should get attestation from their College Faculty Facilitator, Head of the Department/Dean/ Principle in his Resignation letter with stating the reason for resigning from his position.
    10. Support and Resources: Ambassadors may receive support and resources from the AIMS officials and from AIMS event organizers by conducting various Training programs to Ambassador like Leadership programme, Boot Camp, Hands on Training Program, Supporting to them through Internship, Project guidance, Sponsor them for the Academics, Providing the marketing materials, event updates, and guidance for their Carrier.
    11.Evaluation and Feedback: The performance of the ambassadors may be periodically evaluated, and they may receive feedback on their efforts. The Ambassador need to submit a monthly report to the AIMS official.( The report template will be Available in our official web site)

Role of Ambassadors

  1. Promotion and Marketing: Ambassadors are responsible for promoting the various events organized by the Academy of Indigenous Motor Sport inside the College / University Premises. They can promote the AIMS events among the students through various marketing channels, including social media, email campaigns, and traditional advertising to the respective department / College.

2. Social Media Management: Ambassadors often have a strong presence on social media platforms. They use their professional accounts (Create a Separate Account for the AIMS) to share event updates, create engaging content, and interact with potential participants and attendees.

3. Engaging with Participants: Event Ambassadors communicate directly with potential participants, answering their questions, providing information about the AIMS event, and encouraging them to register. They may host Q&A sessions or live streams to engage with the audience.

4. Networking: Ambassadors establish and maintain relationships with student, relevant stakeholders, including potential sponsors for their event Participation, local businesses, and influential figures within Racing based community. Building these relationships can lead to partnerships and sponsorships.

5. Community Engagement: They engage with the Student community to build support for the event. This might include collaborating with other department student inside the Parent College / University , forming AIMS Students chapters, and go-karting clubs to encourage participation.

6. Content Creation: Ambassadors often create content related to the event, such as blog posts, Pamphlets, videos, or podcasts. This content can showcase the event's unique features, share stories of past participants in the AIMS events, and build excitement to other or Upcoming Participants.

7. Event Representation: Event Ambassadors represent the event organized by the AIMS Academy and AIMS Trust (Academy of Indigenous Motor Sports ,Educational & Social welfare Trust)  at various Technical, College symposium, Boot camp or motorsport-related gatherings, conventions, or Project Expo, trade shows. They may have a booth or presence at these events to attract potential participants and sponsors.

8. Feedback Gathering: They act as a liaison between participants and event organizers (AIMS ), collecting feedback and suggestions for improvement. This feedback can be valuable for enhancing future events.

9. Personal Branding: Event Ambassadors leverage their AIMS brand and credibility to boost the AIMS event's reputation. Their endorsement can attract participants and sponsors.

10.Sponsorship Acquisition: Event Ambassadors might help in securing sponsors for the AIMS event by reaching out to potential sponsors, presenting the event's value, and negotiating sponsorship deals.

11. Attendee Engagement: During the event, Ambassadors continue to engage with attendees, welcome them, answer questions, and ensure they have a positive experience.

12. Post-Event Activities: After the event, Ambassadors can play a role in sharing event highlights, participant testimonials, and recap content to maintain interest and enthusiasm for future AIMS events.

  1. Student’s Ambassador Card: One year validity Student Ambassador Card will be provided.

  2. Appointment / Offer Letter: The selected student’s Ambassador will receive the Appointment/ Offer letter officially from the AIMS Academy.
